Office Guys offer admin service to small firms
"Do what you do best - and we'll handle the rest."
That is the tagline for Office Guys, a newly-launched office administration service for small businesses, which covers everything from answering phone calls to carrying out basic web research.
The company, which was set up by business partners and owners Glenn Robinson and Dwight Jones and officially unveiled this week, is also offering a free 30-day trial this month as it builds up its client base.
The Bermudian pair, who work alongside customer service representative Robin Tota, first came up with the idea for the business when they found a niche in the market for small business administration, having experienced first hand the frustrations of having to perform those duties under time constraints and other pressures.
And they believe the services on offer will provide entrepreneurs and small outfits with some much-needed assistance during these tough economic times.
"I have always recognised the need for having a full-time secretary, but was never in a position to be able to afford that person and over the years I have suggested this concept to 10 different people and no one ran with it at first," said Mr. Jones.
"It came to a point where I said: 'I need something like this' and I was talking to a friend on the street one day and he said to me I should start something up.
"I said: 'I am going to do this' and within three days I had developed the concept further and talked to Glenn (Robinson) and we decided to go for it.
"There is a need for this service for small businesses, just so they can have a more professional profile in the public eye."
Mr. Robinson, who has been running MindBody Wellness, a neuromuscular therapy clinic, for the past 17 years, and Mr. Jones, who launched music production company Studio B in 1985, which later became Kingdom First Ministries, both believe they will be able to apply their skills to managing small business needs.
"That is the way the world is going and a lot of small businesses either cannot afford a website or do not have the necessary skills at their disposal to do it," said Mr. Jones.
"But we have implemented a simple plan to do it and we also have switchboard operators on hand to take the calls on behalf of the client even if they want to step out of the office for a couple of hours and do not want to miss any calls."
And Mr. Robinson reckons their all-round business acumen and experience will stand them in good stead regardless of what type of client they are working for.
"It is all about organisation and having a support operation that is going to work with the smooth sailing of any small business out there," he said.
The new company offers a range of services, including answering phones, sending and receiving text messages and emails, web design and research and general office administration for a monthly fee. It will take out the burden of accounting, checking inventory and voice-mail via an organised communication and management system tailored to the needs of small enterprises, with scope to answer customers' questions, prepare letters and proposals, and return calls and emails to vendors and creditors.
The service works by the client sending their main telephone number to one of the company's exclusive numbers assigned to that individual or business. When their customers call the company will answer the phone in the client's name through its network messaging system.
"Even if a company is in a position where they have to downsize because of the current economic situation, they can still get the same service they have had through us," said Mr. Jones.
"The small businesses are the ones that need us right now to take them from one level to the next and to do the kind of things that they do not have the resources to do.
"I have seen how a business can get stuck and/or fail because they did not have the right support system in place.
"But we have got the right people in place to be able to provide the customer service that our clients need and we have got the right infrastructure as well, so now it is just a matter of putting it into practice."
Mr. Jones said his company has already established a healthy network of clients and received some positive feedback, including the offer of help from business contacts.
The business has been targeting the likes of small tradesmen or one-man bands, such as truck drivers, electricians, carpenters and artists so far, but it also plans to branch off into service provision for big corporate firms in the future, as well as putting on workshops for improving the way small businesses operate, ranging from finance to construction and even project management.
