Nothing is more frustrating than trying to send an e-mail with an attachment and having it bounce back as undeliverable because the file size exceeds your attachment quota. And, to make matters worse, these bounce backs always seem to occur when we are in a rush and really need to get the document sent.The average quota for file attachments varies based on your ISP or web based e-mail services (Hotmail, Gmail, etc) that you use, but generally sits around the 10MB mark which are not significant when you think about how the average file size continues to increase as digital communications continue to evolve.Dropbox (www.dropbox.com) is an online site that was designed as an alternative way for users to consolidate and access files virtually. This site allows the user to “drop” or place files from any of their devices into a single Dropbox account allowing data consolidation and access through a central site.Dropbox accounts provide users with the ability to store files in a various folders that can hold multiple files. Each file has a unique hyperlink that can be sent to anyone that the user wants to view that particular file. All they have to do is go into the folder, locate the file they want to share, right click on the file and select copy public link. The user can then e-mail this link to those they want to view the file. Users also have the ability to share the contents of entire folders with others- this cannot be done with the public folder or sub folders.The recipients aren’t required to have a Dropbox account, all they need is an internet connection and the link provided. Users uploading files to Dropbox are allotted 2GB of space free of charge, which means you have plenty of capacity available for those large files you can’t send via e-mail! You can store 2048 MBs in 2GB worth of storage space- compare that to the average cap of 10MB and it gives you the ability to share 200, 10MB files simultaneously.Users are able to select multiple account options to help them manage their account, one of which sends automatic e-mail alerts when nearing storage capacity- not after.If you decide to just use Dropbox to share files, you can always delete files (freeing up capacity) once a project has been completed and all necessary parties have viewed the file.
