Central Filing upgrades technology and hires two new staff

An office record storage and management company has implemented a new technology to improve the delivery of its services and ensure that Bermuda remains a top place for companies to do business.Central Filing Ltd, which is run by CEO Jonathan Smith, has utilised a system designed by O’Neil Software as the company strives to modernise and automate its business.The company has also taken on two new full-time Bermudian employees 19-year-old Eric Thomas and Jordan Trott as it seeks increase its offering to customers.Having started out in 1995, the firm has grown to a staff of six providing secure, safe off-site records storage services as part of companies disaster recovery plans and retention policies. It also offers secure shredding and destruction, tape vaulting, document box sales and document scanning.Among its biggest clients are the majority of the Island’s top 25 re/insurers, banks, financial and trust companies and law firms.The integration of the new software will link the whole chain from customer call, work order generation and bar-code technology to tracking box and file movement, digital customer signatures on receipt, invoices, billing and archive box history and database.There are also online customer accessible records management solutions which the company will be rolling out in future months.“Many of our customers are multi-national companies,” said Mr Smith. “If Bermuda is to continue to retain its edge as a place to do business, we have to be as good or better in the provision of our support services than what they are accustomed to in other countries.“With O’Neil being the latest addition to what we offer, with the very latest in their operational software, we’re confident that our business falls into the ‘better than’ category. We understand our role in raising the standard of Bermuda’s support services.”Mr Smith said that the company’s previous proprietary database which was built on an Access platform was limited in terms of adaptability and capacity and it was looking for a system that made tracking boxes more reliable, reduced human error and paperwork, sped up transactions, offering barcoding and more powerful query solutions, provided online secure access to customer accounts and complete technology solutions and O’Neil Software’s product ticked all the boxes.Rick Jones, O’Neil Software’s director of sales/The Americas, said: “Jonathan realised that record centres that don’t welcome change and technology risk losing customers to other facilities.“Likewise, they’re passing up a chance to enhance their value and profits.“Central Filing Ltd has a well-earned reputation for delivering boxes on demand and on time. O’Neil understood what was at stake and was ready, willing and able to help them maintain that distinction.“We were excited to show them how technology could be a business enabler, not a business barrier, as well as partner in their success.”Mr Smith said that one of O’Neil’s key selling point was the ability to successfully transition from an old to a new system while maintaining full operations.“We’ve made a considerable investment in O’Neil and we believe our partnership with them positions us extremely well, with a product none of our competitors can equal,” he said.“As our company continues to embrace technology, we see ourselves as being better able to match what our customers demand faster access to their information. O’Neil’s software will help us deliver that.”Mr Smith said that the introduction of such technology meant that the service standards and skill set of his employees had also been raised with every member of the team now fully versed in the new system.“Our newest full time employee is a young 19-year-old, Eric Thomas,” he said. “He originally came on as a summer staff only. He showed an interest in learning and he can now handle the new technology.“I have no problem taking on an employee who wants to learn and Eric is now very much a part of our team.“Jordan Trott has also joined us full-time. He has an Associates Degree in Computer Systems Maintenance and Management and has worked summer jobs with us before.“Our move to new technology created a unique opportunity for him because our company was looking for someone to take the lead on the implementation of O’Neil. Jordan will probably say his new job with us was a match made in heaven.“We sent him to Texas for specialised training and he’s now working full-time as our ‘go to’ guy on implementation and operation of the new technology.”Local IT specialist firm, Decisions Ltd, has been providing Central Filing with additional support, consultation and service to prepare for the migration to the O’Neil technology since 2009.“We have partnered with them for several years now and to see a local IT company work seamlessly with a global company like O’Neil was rewarding,” said Mr Smith. “Decisions Ltd were on their game and showed us that Bermudians in the IT field are capable, competent and can deliver.”O’Neil Software, which is in its 30th year, has installed software in more than 1,000 record centres in 80 countries worldwide.
